In 2020, the City of Wolverhampton College embarked on a transformative journey to enhance its student experience, partnering with Tribal to implement its Progress and Performance ebs module and Engage Mobile App solution. This strategic initiative aimed to tackle the challenges of managing student data and communication - ultimately fostering a more streamlined and personalised learning environment. Four years on and the results are impressive; showcasing how the College has transformed challenges into opportunities.

The City of Wolverhampton College faced several challenges in managing student data. Disparate systems led to duplicate data entry, making it difficult to access comprehensive student information. This also created a high administrative burden for staff. Additionally, limited communication channels made it hard for the college to engage with students effectively.
To address these issues, the college implemented Progress & Performance, which includes ILP, Markbook and Safeguarding, on their ebs web portals and the Engage app. This move consolidated most of their systems into ebs, creating a single source of truth for student data. Streamlined data management processes reduced errors and costs, and improved access to student information allowed the college to make better decisions. ebs also provided a single platform for managing various student communications, including inquiries, interviews, progress tracking, and exam timetables.
The implementation of the Engage app further enhanced the student experience. Engage increased communication channels with students through email, SMS, and the app, fostering a social learning environment. The app also reduced the administrative workload for staff by allowing students to access information and complete tasks more independently, with all Progress & Performance learner screens designed mobile-first.
Beyond streamlining processes, ebs offered functionalities that further improved student engagement (beyond the app). The ILP module, for example, allowed for personalised learning experiences, while the Safeguarding module improved oversight for pastoral and learner support processes.
The college’s successful implementation of ebs and Engage was supported by engaging the entire college community through champions, who helped to cultivate ownership of the new system. The college also took advantage of customisable data sets in ebs, allowing the college to capture specific information relevant to supporting its student population.
The City of Wolverhampton College plans to leverage ebs data even further. They aim to develop a system that predicts student success based on data analytics. Additionally, integrating ebs with HR and finance systems will create a centralised data warehouse for the college. Finally, the college plans to track student independent study and digital skill development within the ebs platform.
This consolidation has led to the reduction in annual subscription costs making our operation more cost effective and that that's one of the fantastic things from the business side.”
