Ingeus enjoys the flexibility of Tribal's solutions

Ingeus is a founding member of the B Corp community in the UK and a leading provider of apprenticeship services that make a positive, lasting difference to people's lives. The Ingeus group of companies has operations in 11 countries, including the UK and Australia. They deliver a wide range of services from national employability and training programmes to specialist support for local communities.

The organisation established a reputation for inspiring people who were cut off from work due to disability, illness or injury by assisting them to address their health conditions and get back to work. Part of their community initiative is to deliver the apprenticeship provision for some of the UK's leading brands including Jamie's Italian, Wagamama and Everton Football club.

Scattered systems and processes

Before working with Tribal, Ingeus identified several problems with their scattered systems and processes.

Previously, staff at Ingeus were having to use five different systems to manage their learner processes. When dealing with apprenticeships, this became almost impossible and managers had no confidence in the data. The issues became unmanageable:

They had inconsistencies between records in the in-house system and those held in their learner management system.
They were reliant on a manual system for vacancy matching involving dual keying of data and multiple spreadsheets, making them prone to human error and data issues.
The same record could exist in multiple systems leading to data issues and a lack of data confidence.
Management information reporting was “almost impossible” due to relevant data being held across multiple systems and not being consistent.

Money was being wasted, time wasn't being well spent and frustrations ran high.

Ingeus needed a single system that gave them the flexibility and reliability they needed to be able to manage and trust their data.

Alice Wilson, Project Manager at Ingeus said:

"After assessing the products in the market place, we chose Tribal because of their market leader reputation and the fact they could offer us one system. Moving from our previous solutions - which were restrictive - has given us the flexibility we needed to grow our business."

One harmonious solution

After speaking to Tribal's apprenticeship team to understand the requirements, it was advised that a single solution was needed in the form of a combined learner management, learner ePortfolio and continuous improvement tool. Known as ActionPlan+, Maytas Hubs and Maytas, the three products worked harmoniously together as a single solution, meaning one data set, one data entry point and one version of the truth.

  • Maytas is the learner management system that details their courses, learners, funding, reporting, and business intelligence.
  • The Maytas Hubs ePortfolio helps their learners and assessors to track learning, mark work, communicate with each other and plan workload.
  • ActionPlan+ allows Ingeus to easily construct and maintain ongoing self-assessment records and assign and track actions in a live quality improvement plan.

"The principle of ‘excellence with integrity’ is the foundation of our organisation and informs every decision we make. We believe that Tribal's mission to ‘empower the world of education’ reflects our own ethos and we trust them as our longstanding partner of choice. Tribal's technical consultants helped us a lot in the beginning. They were our go to people, visiting us once a month and providing us with additional support around sector changes, software capabilities, advisory services etc., they even attended our levy meetings and helped to advise us." Alice continued.

Results that transform lives

Ingeus now has a single solution that streamlines and centralises their processes. They have consistency, trust and flexibility within their data management. They are also embedding a methodology and culture around Maytas and Maytas Hubs whilst undergoing a programme to reduce costs across the business.

Like Tribal, Ingeus believes that by empowering people to achieve independence through vocational training and lasting employment, it is possible to get results that transform lives; and like Ingeus, Tribal believes in a better way. A better way to manage data and get the most from learning to really give everyone a better chance of success.
